ANNUAL GENERAL MEETING 2020

NOTICE IS HEREBY GIVEN that the Annual General Meeting (“AGM”) of the Trinidad and Tobago Music Festival Association (“the Association”) for the period June 2019 to May 2020 will be held on Saturday 3 October 2020, online. You must be a member of the Association in order to vote on any motions presented during this meeting. To become a member, you must complete your membership form and send the completed form and proof of payment to communications@www.ttmusicfestival.org no later than 11:59 pm, on Monday September 28, 2020.

The positions to be filled are listed below, with positions 1-7 open to election process and positions 8-10 to be determined by each regional committee by delegation:

  1. Chairman
  2. Vice Chairman
  3. Secretary
  4. Assistant Secretary
  5. Treasurer
  6. Business Officer
  7. Marketing and Communications Officer
  8. Ordinary member (North)
  9. Ordinary member (South)
  10. Ordinary member (Tobago)

The specific requirements (qualifications and experience) for each position is provided at Article 8 of the Constitution. Please note that these positions are all non-remunerated. Nominees for the various positions must be submitted online no later than 11:59 pm on Monday September 28, 2020.  The online nomination form is found here.

The full slate of candidates for the aforementioned positions will be available online for voting on October 1, 2020 and members may vote from October 1, 2020 until 11:59 pm on October 2, 2020. There will be no voting on the day of the AGM. The final tally of the votes by members of the Association will be provided at the AGM.

In the event that there is no nominee for a position, the incumbent may be invited to continue if he or she has not already served two consecutive terms, in accordance with the constitution, OR nominations will be taken at the AGM accompanied by a vote from the membership or consensus as determined by the AGM. Alternatively, the membership may decide to postpone the appointment to that position until a suitable candidate is found over a period not exceeding 30 days.

THE FORMAT AND DOCUMENTS FOR THE AGM

Attendees at the AGM are provided the Draft Agenda and Standing Orders of the AGM for ease of reference. You are also invited to peruse our Treasurer’s Report based on on the audited financial statements for the period 2019-2020 which will be presented at AGM. Attendees should review the unconfirmed minutes of the last EGM.

BOARD OF DIRECTORS’ EXPECTATIONS

The purpose of the Association shall be to promote, encourage and cultivate the appreciation for music and to hold festivals in the Republic of Trinidad and Tobago. The primary objectives of the Association shall be to:

  • Promote the involvement of persons of all ages in the learning and appreciation of the art of music;
  • Conduct training programmes and assist in the teaching of music so as to effectively contribute to the creation of an enlightened musical public;
  • Collaborate with other institutions and organisations involved in the enhancement of music; and
  • To host competitive music festivals so as to promote and encourage standards of excellence in the performance of music.
